Our client in Pleasanton is seeking a very organized, detail oriented Office Admin/Coordinator to be the first point of contact for all employees and visitors. Job Description: The company is looking for a Project Manager of Digital Delivery to manage a team of Information Specialists in the launch and roll out of a menu management software tool across cafe sites inside of an account at Compass. You'll be working closely with the Software Product Team that owns and builds the menu management tool, to learn the in's and out's as well as coordinate with them on their road map. You will look to assess a backlog of cafes looking to convert onto this platform, prioritize and run an aggressive time line to roll out the system into each cafe across North America. This position reports directly to the Director of Digital Strategy and will partner with key stakeholders (culinary, nutrition, behavioral science, vendor relations) to ensure the successful delivery of the roll out of this system according to company and program standards. You'll work under the company, based in Charlotte and coordinate locally with the Menu Management team based there. You'll also coordinate with cafe sites across the United States and focus on a core base of sites base in the San Francisco Bay Area. Some travel to California and other nationwide sites may be required. Summary: Ensuring our contract employees, clients, and sales teams receive superior service in the areas of human resources, accounting, and administrative support. Essential Duties and Responsibilities: The Customer Support Assistant (CSA) is responsible for ensuring our customers including, but not limited to contract employees, clients and local sales teams receive superior human resource, payroll and benefits support. The CSA is also the primary liaison with the corporate office regarding all accounting related issues. Specific responsibilities include: Ensuring front office customer service (telephone and reception desk). Completing internal payroll. Managing timecard audit and collection (including contacting contractors and/or clients for missing timecards) in PeopleSoft and AHCS. Time and Audit Billing report audit. Managing the distribution and explanation of expected and actual commission numbers. Resolution of all spread and commission related issues. Ensuring timecards for AHCS exception accounts are submitted to corporate associate in a timely manner. Managing the Unemployment Process including claims and hearings. Managing the Worker's Compensation Program including education, filing claims and alternate light duty locations. Managing the processing of payroll (sort, stuff and mail). Resolution of all payroll and invoicing issues (adjustments, lost checks, invoice issues, etc.) Managing all filing. Ensuring an adequate supply of Pre Employment Packets are on hand. Essential Functions of the Administrative Assistant: Very Proficient in Excel; manipulate data The Administrative Assistant is a proficient expert in sound operational processes to ensure superior administrative support to the DNA team, Technical Professional and Clients. Demonstrate proper phone etiquette by using appropriate script to answer and direct in-bound calls to appropriate individuals. Establish total awareness/company knowledge to ensure quality of customer service. Educate Field Support, Sales, Recruiters and Technical Professionals on account requirements, compliance and processes. Manage and maintain Vendor Management Systems; including Technical Professional training, hours and timecard collection and troubleshooting system issues. Auditing and reporting for DNA: Ad Hoc Reporting Create spreadsheets to track spread/revenue growth and other metrics Track account specific information for DNA (VMS, pre-employment paperwork, starts, compliance, time collection, etc.). Schedule travel as needed for DNA (flight, car and hotel). Assist DNA with monthly expense reports. Create and maintain email distribution lists for specific accounts. Create and maintain account manager contact sheets per account. Provides routine administrative support to include composing and typing documents, create spreadsheets, send emails, filing, faxing, binding, etc. Qualifications: High School Diploma or equivalent. Minimum one year of administrative experience, to include Excel as main focus and typing skills of at least 40 wpm. Very proficient in Microsoft Outlook/Word/Excel/PowerPoint. Excellent verbal/ written communication skills. Ability to multi-task and interact effectively in a team environment. Consistently displays high character and a strong work ethic.
