Job Description

Kelly Services is looking for a Receptionist/Administrative Specialist to provide professional support for the Physics and Astrophysics student programs. We serve 3,000 to 4,000 undergraduate students per year who take physics as a requirement of their program in addition to the ~170 undergraduate majors and ~200 graduate students. This role serves as a first point of contact with the School of Physics and Astronomy. This position is essential to our successful course operations because it securely manages a large volume of paperwork and data related to our classes and students.

Student Programs Office Receptionist and Administrative Support
Reception Coordination
Greet all visitors
Answer main departmental phone line
Manage physics delegated email account
Triage requests as needed
Provide superior customer service to internal and external individuals
Manage package deliveries, mail room organization, and office supplies
Reserve meeting rooms through Google calendar.
Student Requests to review final exams.
Lost and found assistance.

Student Program Administrative Support
Ensure security of main office and confidential materials
Manage student records and high volume of course materials, maintaining privacy and security
Making copies, assembling paperwork (course materials, surveys for distribution, conference materials, etc)
Coordination of testing, grading, course communications, tutoring room
Student Evaluation of Teaching- copy forms, type comments.
Collecting exam information from faculty. Put in chart. Work with Office of Classroom Management to schedule rooms.
Disability Resource Center letters. Electronic copy to the faculty member. File as directed.

Event Assistance
Assist with events
Materials preparation (name badges, packets, signage)
Set up and take down for the event.
Put up and take down signage.
Swag organized and distributed.

Assistance with CUWiP Meeting
Be at the check in table - Friday, January 17 Noon to 8:00 p.m.
