Job Description

Panum is looking to hire a qualified Public Affairs Project Coordinator. This position will assist the Communications Division in supporting public affairs activities within the USDA Food and Nutrition Service (FNS). Experience in coordinating multiple complex tasks simultaneously to meet project timelines, managing projects, and communications coordination is preferred. Experience working with high-level officials is desirable. Candidates should have strong written and oral communication skills, and should be detail oriented and able to work independently and as part of a team.

Job Duties

  • This position is geared toward an individual who has knowledge in management of projects with national importance. The Public Affairs Coordinator would report directly to the FNS Communications Director and work across the communications division. Main duties would consist of performing administrative functions related to the coordination and management of public affairs and outreach activities in support of USDA's communications efforts. This will involve collaboration across the Agency to ensure that the project plan milestones are met, assistance is provided to support the activities of the Communications Director and other members of the Office of Policy Support (OPS) Communications Division leadership team.
  • Assistance would also be needed in scheduling meetings, maintaining/updating the internal calendar of ongoing communications projects within FNS, and preparing weekly communications reports, with the possibility of writing agendas/meeting minutes and preparing presentations, as needed.
  • Work closely with the OPS Front Office, Communications Director, OPS Communications Branch Chiefs, Special Assistants across FNS, and communications personnel at the Department.
  • Provide administrative, technical, and management support as determined by the Communications Director.
  • Coordinate collaborative communications projects across the agency, including document management through SharePoint and/or similar software available in the Agency.
  • Maintain and track project deadlines in a planning software (e.g., Microsoft Planner) on a daily basis to keep the team abreast of immediate and upcoming tasks.
  • Manage the Communications Division SharePoint site, including uploading and updating documents, maintaining version control, creating a file structure, and providing training to those who may need help accessing the site.
  • Prepare and distribute a weekly communications report to note upcoming communications activities across FNS.
  • Update and distribute the monthly communications planning calendar for FNS' awareness of upcoming announcements, publications, notices, and more.
  • Assist in managing the Communications Director's calendar, including scheduling and updating meetings with attachments or any other pertinent information.
  • Attend meetings with the Communications Director for awareness and to note-taking purposes.
  • Draft emails on the behalf of the Communications Director to a variety of recipients, including the OPS Front Office, Special Assistants, Department Office of Communications, and Administrator's Office, on occasion.
  • Assist the Communications team in light editing or proofreading of products, including blogs, press releases, stakeholder notices, and social media content. There is potential to support the web team in minor web-related projects, if interested.

Qualifications

  • Bachelors Degree in Communications or related field
  • One to 3 years of experience in public affairs
  • Excellent written and verbal communications skills.
  • Proficiency in Ms office suite
  • Comfortable in giving presentations
